Cancellation Policy:

To receive a full refund, a notice of cancellation (conference, workshop, or additional meal ticket) must be made to AMI HQ in writing by June 25, 2019. In the event that special circumstances such as a serious illness, accident, or death of a family member arise and the circumstances cannot be reported until after June 25, 2019, documentation to support the special circumstance (e.g. a physician’s statement, obituary, etc.) will be required in order to process a refund. A $75 processing fee will apply to all refunds. No refund will be considered for special circumstances reported after August 13, 2019. 


Anti-Harassment Policy:

AMI conferences are intended for networking and collaboration in the medical illustration community. We value the participation of each member of the community and want all attendees to have an enjoyable and fulfilling experience. Accordingly, all attendees are expected to show respect and courtesy to other attendees throughout the conference and at all conference events, whether officially sponsored by AMI or not.

AMI policy applies to all attendees, vendors, sponsors, exhibitors, guests, association staff (henceforth, Participant(s)) at all event sessions, venues, events and event-related social activities.

AMI is dedicated to providing a harassment- and discrimination-free conference experience for everyone regardless of gender, gender identity and expression, sexual orientation, disability, race, age or religion. AMI does not tolerate harassment of conference participants in any form.

All communication should be appropriate for a professional audience including people of many different backgrounds. Sexual language and imagery outside of a medical context is not appropriate for any conference venue, including talks.

Be kind to others. Do not insult or put down other attendees. Behave professionally. Remember that discrimination, harassment and sexist, racist, or exclusionary jokes are not appropriate for AMI events.

Harassment may include, but is not limited to:

  • Verbal comments that reinforce social structures of domination related to gender, gender identity and expression, sexual orientation, disability, race, age, veteran status, and/or religion.
  • Inappropriate sexual images
  • Deliberate intimidation or ”stalking” or excessive following
  • Harassing photography or recording
  • Sustained disruption of talks or other events
  • Inappropriate physical contact
  • Unwelcome sexual attention
  • Advocating for, or encouraging, any of the above behavior


AMI leadership may redress anything designed to disrupt, or with the clear impact of disrupting, the event or making the environment hostile for any participant.  If a participant engages in harassing or discriminatory behavior, event organizers retain the right to take any actions to keep the event a welcoming environment for all participants. Conference participants violating these rules may receive a warning or may be sanctioned or expelled from the conference (without a refund) at the discretion of the conference organizers.

Participants asked to stop any harassing or discriminatory behavior are expected to comply immediately.  Hotel/venue security and local authorities will be contacted when appropriate.

Any participant may be expelled by the decision of AMI leadership for any violation of the anti-harassment and discrimination policy. However, here are some general guidelines for when a participant should be expelled:

  • A third offense resulting in a warning from AMI leadership
  • Continuing to harass after any “No” or “Stop” instruction
  • A pattern of harassing behavior
  • A single serious offense (e.g., punching or groping someone)
  • A single obviously intentional offense (e.g., taking up-skirt photos)
